                                             Meeting Minutes

                                          January 12, 2016

 

Renae Boyle made a notion to forgo the reading of the meeting minutes form December, 2015 and Chris Arms second it.  The minutes can be found on the Booster webpage.

Michelle Ellis requested to discuss Treasurer report from December, 2015.   We made a motion to accept the budget by Regina Ezell and Carl Justice to second it. 

Amanda Wilshire brought up that our Indoor Drum Line and Color Guard, ETPPA, is still needing more volunteers.  At this time, all the Leadership roles have been filled.  Terry is working on the rest of the list and a email will go out soon.

Jean Washam passed around a form for the Silent Auction that we will be doing for the ETPPA show.  On the form she states that the minimum number of items needed are between 25 to 50 items.  The type of items needed are  themed baskets, area attractions, services and gift cards. The value of each item or basket should be $25-$100 .  The date that the items would need to be turned in should be 2 weeks out from the event.  Number of volunteers need and responsibilities is 4 to help monitor, 2 to help collect the money and 2 to help distribute the items.  The payments that we can accept are cash and credit cards and PayPal.  If you have any ideas, suggestions or questions, please contact Jean Washam at jwasham@cn.edu.We also discussed that we can put a ad in the flyer for the Silent Auction.

Mr. Humber said that he was still waiting on the music for the spring Disney trip.  When it does arrive, he would like if the kids can learn the music.  He also said that when the kids march in Disney it will be at Magic Kingdom. 

Terry Wilshire mentioned that we need to discuss the dry cleaning should be done on the uniforms before the Disney trip.  Michelle said she will call a dry cleaners and ask if they can do our cleaning for us.  

Regina Ezell brought up that they are setting up a Gofund account for Stephen Reeves.  We all decided that we would send out a email to the parents of the boosters and see who all would like to help out with this.

February 16, 2016

 

 

Chris Arms made a notion to open up the meeting and have the minutes read from last month.  Tammy McCarter read the minutes, Chris Arms made a notion to accept and Scott Boyle second it.

 

Jean Washam wanted to talk about the Silent Auction we will be having at our ETPAA.  She is asking that we are needing things for themed baskets, area attractions, services and gift cards.  The value should be $25-$100 per basket.  We will be needing these turned in 2 weeks before our event on 3/26/16.  If you should have any ideas, suggestions or questions, please contact her at jwasham@cn.edu.

 

Scott Boyle said that the ETPAA ads for the program are being worked on.  He explained how they will look in the program and how much for the ads.  He also suggested if a company would like to be a Trophy Sponsor, they can donate $150 and their name/company will appear on the award.  Terry Wilshire then said that we need to try to get donations for this to help pay for all of the trophies.

 

Regina Turner could not be at the meeting, but she did email us with a few things.  She indicated that we are only short about a dozen volunteers.  Once Elizabeth can get her a student list, then this will resolve some of the positions needed.  IF there are any corrections to your section, please let her know.

Mr. Humber stated that the only thing that he had to mention was upcoming dates for the month of March.  They are as follows:

        March 7  Concert at 6:30 ; March 8, Booster Meeting; March 9 or 10th (not sure which date yet) Festival; March 12-16 Disney Trip; and last but not least March 26th is our ETPPA Competition.

 

Scott Boyle mentioned to Mr. Humber if we could start looking to find an alternate gym for the color guard to practice in for winter guard.  This year has been hard for them to get a practice in their due to other sporting events.  Mr. Humber said that we could most definitely look into this.

Terry Wilshire wanted to let us know that the week of ETPAA we will be having some extra meetings.  March 8th will be our regular Booster Meeting.  March 22 will be a meeting and if need be we will meet again that week.  March 25th will be a set up day around 2:00 to get things prepared for Saturday.

Scott Boyle made a notion to open up the meeting and have the minutes read from last month.  Tammy McCarter read the minutes, Chris Arms made a notion to accept and Scott Boyle second it.

 

Regina Turner wanted to ask parents for volunteering food for our upcoming ETPPA.  She stressed to the parents that we need food for the Directors and all their band assistants.  The more we have donated, the more that we don’t have to take it out of Booster budget.

Terry Wilshire wanted to know how we are coming with the ads for our program for ETPPA.  Scott Boyle said that it was coming along good.  He is going give a deadline of March 15th

 

Scott then asked that if our shirts for ETPPA are going to be pre made.  Angelique Tolliver said that her company can print shirts up however we would like.  Some discussion was if we wanted to put a list of schools on the back of the shirts.  Terry said that would be fine.  Someone asked what if a school registers late?  Terry then said that their school just would not be on our shirts.

 

Scott Boyle asked about wrist bands for people to have to come and go at the competition.  We decided that it takes too long for this process so Scott asked about a stamp? Mr. Humber said that he may have one.  If not we can get one with some ink if need be.

 

Jean Washam wanted to talk about the Silent Auction we will be having at our ETPAA.  She is still asking that we are needing things for themed baskets, area attractions, services and gift cards.  As of now she has 23 items. If you or someone you know is doing a basket, please let her know.  She will need some help putting these baskets together if anyone would like to help. Michelle Ellis brought up that we may need to start thinking about where and when we will have our Band Banquet.  Several suggestions were Rutherford Memorial like last year, but we have outgrown this.  Someone suggested Corryton Church.  Someone will call them to see if we could get it reserved.  The dates that Mr. Humber said we could tentatively say are 4/29, 5/6 and 5/13.

 

Mr. Humber brought up the Disney trip.  If your child is going, then they need to arrive on Saturday the 12th at 6:15-6:25.  The kids have an itinerary that they were handed out, in case the parents have not seen it.  They will be arriving back to the school on Wednesday, the 16th early morning.  Also, if your child has medicine that they need to take.  It would be helpful if you will send it in the original bottle with written instructions in a ziplock bag.  Mr. Humber and and Ms. Reeves will distribute to the kids.

Regina Ezell made a notion to open up the meeting and have the minutes read from last month.  Regina Turner read the minutes, Kevin Yates made a notion to accept and Richard Turner second it.

 

Michelle Ellis requested to discuss the Treasurer report from March, 2016.  Bruce Ellis made a notion to accept the budget and Richard Turner second it.

 

Terry Wilshire said that we need to discuss this year’s Band Banquet.  Per an email from Emily Kerr, she is able to use Corryton Church.  She was told if we have over 200 people then we will need to provide tables to help fit all of our people.  She also said that we will have access to the kitchen and that there is a grill right outside the kitchen that we can use as well.  She said that she will call the church tomorrow see if we can have May 6 or May 13.

 

Terry suggested that we should have a sign up sheet like last year and have all the student’s families sign up a dish.  Tammy will email that to Mr. Humber so he can get copied and out to the students to bring home. 

 

Regina Turner said that she would like for us to send pictures of their kids if they want them in the slide show this year.  So far she has only got 4 people to send her some.

 

Terry said that we need to get a Nomination Committee together tonight so that we can start recruiting people for next years Officer positions.  We also need to start asking people to see if they are interested in filling some of the positions that parents are leaving.
