Booster Meeting Minutes

 

Terry Wilshire opened the meeting.

 

Mary Bates, read the minutes from December, 2014.

 

Scott Boyle made a motion to accept the minutes as read and seconded by Bruce Crabtree.

 

As of tonight 60 days away from the ETPAA show.  There are 32 groups signed up to perform.

 

Meeting days for ETPAA show preparation are; 3/3, 3/10, 3/12, 3/13 (set up night).  All meetings will be at 6:30 p.m.  The ETPAA show is the first Saturday of Spring Break.  Scott Boyle reminded everyone that we need to continue to get people to by advertisements.  Forms are available on the website and Facebook that can be downloaded.  The website is also set up to have the ads paid for on line. 

 

Michelle Ellis distributed and reviewed treasures report.  The big expense for this month was the purchase of the mule 2007 (utility vehicle) with the cost of $5,500.  Regina Ezell made a motion to approve the treasures report and Regina Turner seconded it.  The motion passed.

 

Several different businesses were suggested to solicit for ads and for vendor spots. 

 

A photographer is still needed for the show.

 

An announcer has already committed for show.

 

There are still plenty of ETPAA jobs.  Please contact Regina Turner

 

Terry stated that we need to start thinking about what we want to do at the end of the year for the students and the banquet.

Booster Minutes

February 2015

 

Terry Wilshire – president opened the meeting.

 

Mary Bates read the January business meeting minutes.  Regina Ezell made a motion to accept minutes as read.  Scott Boyle seconded the motion. The motion passed.

 

Michelle Ellis read the treasurers report.  Chris Arms made a motion to accept the treasures report as read. Richard Turner seconded it.  The motion passed

 

Scott reported that the printers need the proofs by the 4th of march.  He needs everything sent to him by the 27th of February.  We have had several ads (10-12)turned in.  Printed 125 programs last year.  Scott suggested the printing 100 programs this year.  A decision to only print 75 programs was made.  Max of 32 groups coming.

 

Regal donated $2000 for the ETPAA show.  Also talking to Pilot about sponsoring as well.

 

Trophies are still needed for ETPAA show.

 

T-shirts – Angela Qualls has talked to Terry Grigsby has a t-shirt company that would come and make shirts on site. Show shirts will be pre-ordered for our students and parents. We will make $7.50 on show shirts.  Other shirts will be sold and made on site.  We would make 10% of what ever is sold that day.  Scott Boyles made a motion to accept t-shirt proposal.  Richard Turner seconded it.  Motion passed.

 

Regina Turner stated that as of now we need 21 adult volunteers in addition to what we already have.  Zach Lawson is heading up the student volunteers. 

 

 

Concession – Amanda Wilshire will do it

 

Tammy McCarter – in charge of covering the directors food/hospitality room.  We need donations so that food and drinks don’t have to be purchased.

 

 

Uniform cleaning and new garment bags.  Last year Halls cleaners was used to have the uniforms cleaned.  Have 63 uniforms that need cleaning.

 

Still on schedule for uniforms that need to be ordered for next year.  Need to be ordered by the end of March. 

 

Spring Concert March 2nd.

May 5th Concert

 

Banquet – May 1st.  Students want to have a lock in at Tennova Health.  Need both Reeves and Beeler or two other Gibbs High staff.   Kids would bring snacks to share.

Booster Meeting
March 2015

 

President Terry Wilshire called the meeting to order.

 

A motion to accept minutes as read was made by Regina Ezzell and seconded by Michelle Ellis. The motion passed

 

Michelle Ellis read treasures report. A  motion to accept the treasurers report as read was made by  Sheila Staley and seconded by Regina Turner.  The motion passed.

 

Many items about EPTAA were discussed in anticipation of the show that weekend.

 

Band Banquet (May 1) was briefly discussed. {Becky Doyal has put us on the church calendar.  We can show a movie if we want to do that afterwards.  The kids could play volleyball or basketball if we put up the tables and chairs.  There is a $100 cleaning fee}

 

Mr. Humber stated that 56 middle school students are saying they will be in band next year.  There are a few who are undecided.

Mr. Humber also stated there is a need at least 20 jackets and 40 pants.  He is requesting $5000 for a down payment.  Regina Turner made a motion that the boosters grant this request.  Scott Boyle seconded the motion.  A vote was taken and the motion passed.

GHS Band Boosters

                                             Meeting Minutes

                                            May 10, 2015

Read the minutes from April 12, 2015.  We made a notion to correct meeting minutes about our upcoming Car Show in July by Carl Justice and Tammy McCarter. Scott Boyle motion to accept and Regina Ezell second.

Renae Boyle requested to take her name off of the Secretary ballot.  Motion to accept the change was motioned by Sheila Staley and Regina Ezell second it.

Michelle Ellis requested to discuss the treasurer report from April 2015.  With a motion to accept to change was motioned by Regina Ezell and Sheila Staley second it.

Terry Wilshire brought up fundraisers for the near future.  He discussed the Car show from the past.  He said the first year we lost money and the second year we made a little money and the third year we broke even.  We then decided to not have a car show this summer.  Mr. Humber suggested that Bearden HS used to make pledges for their car wash.  The pledges by the end of the day were substantial amounts.  He said that maybe we should try this on a weekend in the fall.  Scott Boyle suggested we have the wash on August 15, 2015.  Then that way it would give us time to have sign up sheets for all the kids to sign.

Terry suggested that we have a fundraiser before school starts back.  He suggested that in the past we used to have spaghetti dinners on the last night of band camp.  We then discussed we should plan this at our next meeting.

Terry said that there will be Band Camp sign ups for the upcoming new band kids.  He said at the Holston Band concert tomorrow night, we need to invite the new band parents to sign up for next year.

Mr. Humber discussed that there is quite a bit of outstanding band fees in the school system accounting.  Parents need to pay for these fees as soon as possible.  There is about $10,000 in outstanding fees.  We need to send out a reminder by email.  Terry said that he will send the email.  Mr Humber also said that we will need additional horns for the upcoming Freshman.

New business was brought up about the proposed budget.  It will be prepared in July, presented for discussion and approved in August.

There will be the annual Parent Meeting on the second Monday of Band Camp for parents to fill out paperwork and discuss future meetings.

Officer Elections were completed and attendance sheet for by-laws.  The following were elected for the 2015-2016 school year:

GHS Band Boosters

                                             Meeting Minutes

                                            June 8, 2015

Read the minutes from May 10, 2015.  We made a notion to approve meeting minutes, Scott Boyle motion to accept and Richard Turner second.

Regina Turner discussed sign up sheets for Band Camp.  The first week will be Monday – Friday 9-4 and second week is Monday, Tuesday and Thursday 9-9 and Wednesday 9-4 and Friday 9-12.  She will be sending out emails for volunteers for band camp by the end of the week.  Bruce Ellis suggested we need to send out an email to everyone that every student needs to send a case of water to Band Camp. Regina will be sending out emails to get people to volunteer with uniforms, etc this week.

Michelle Ellis requested to discuss Treasurer report from May 2015.  With a motion to accept the budget by Regina Turner, and Scott Boyles second it. 

Chris Arms brought up that the biggest way we raise money for the Boosters is our Concession Stand.  We ask that every parent volunteer at least one game.  This helps to keep down the band fees for the kids.  We discussed that we have 5 home games and 5 away games.  We discussed Boosters cover the buses for away games.  We discussed for the new parents that we are a team, which is the Color Guard, Drum Line and Marching Band and that GHS Boosters covers all this.

Terry Wilshilre brought up that we should have a spaghetti dinner/Parent Night on July 27 at 6:30 of band camp.  Terry said that in the past the parents did not hear a thing when they have a meeting on the last night. 

Terry said that we will need to discuss future fundraisers.  We discussed having a car wash in the fall.  If anyone has any other ideas we are open to discuss.  Terry discussed our Coke sales that we do every year.  He said that this sale is one of the biggest fundraisers of the year.  He said that we will have paperwork for this sale on parent night at band camp.  So if the parents wish to go ahead and start selling they can.

Bruce Ellis said that he discussed with Mr. Humber if there was going to be a lot of extra equipment that we will be hauling this year.  We discussed that we may need another trailer and or truck to haul for us.  We will discuss further at next meeting.

We discussed the money for food at Band Camp.  Chris Arms discussed that last year they had a system going in order for it to run smoothly.  We also discussed to try to get Peppers and Chick fil a and a parent can pick up each day that we have this offered. We went ahead and decided on where to get food for each day and made a schedule.  We should try to call a few people to see if they can donate any food for band camp.  Some of the suggestions were Kroger, Food City, and Subway.

                                            July 14, 2015

Read the minutes from June 8,2015.  We made a notion to approve meeting minutes, Scott Boyle motion to accept and Regina Ezell second.

Michelle Ellis requested to discuss Treasurer report from June 2015.  She stated that Regal Cinemas donated $2,000.00.  Mr. Humber discussed that band fees are not a reason not be in band.  If anyone needs to be on a payment plan, or need to discuss finances, please see him.  He also brought up Concert Band will have a $50 band fee if you do not own your instrument. With a motion to accept the budget by Regina Ezell, and Sheila Staley second it. 

Chris Arms brought up that if anyone would like to be in the loop with the band, they need to give either Tammy McCarter or Regina Turner their email address.  This is a very important form of contact to stay in the know how.

Michelle Ellis discussed the food situation for Band Camp.  There will be Peppers Pizza 2 days and Chick-fil-a 2 days.  There will be a sign up sheet for the kids to sign up the day before.  They will need to bring $6 to pay for their lunch.  You may prepay for the week if you should desire.

Regina Turner brought up volunteering.  Volunteering helps us kept ban fees down and it helps all of the kids.  She still needs volunteers for the next 2 weeks of band camp.  She can split up shifts if all day is not doable or sign you up all day.  Please see her for helping out.  It is imperative that parents are there to help with keeping the kids hydrated, if they get hurt, or anything else that may arise.

Every kid needs to bring a case of water to band camp.  This will go a long way after band camp.

Mr. Humber asked if he could have money to purchase a contractor pack of tape for taping up the gym floor.  He also asked if he could purchase 2 boxes of field paint.  . 

Mr. Humber asked that if anyone could help this Saturday at 2:00, it would be appreciated.  We need to load the trailer with the instruments and drive over to Holston to help unload it.  It should only take about an hour if we have several people helping.

Tammy McCarter asked if Mr. Humber had any idea of Band Competion dates.  As of now, he does not know for sure.

Tammy McCarter asked Mr. Humber if he knew where the band will be going for Spring Break next year.  As of yet he is not 100% sure where they will go.  He is about 50% sure it will be Disney World.

Chris Arms brought up that the second Monday of Band Camp, 7/27/15, will be a Mandatory Parent Meeting at 6:30.  This will be a time to fill out paperwork, band information and signing up for volunteer positions.

                                          August 11, 2015

 

Read the minutes from July, 2015.  We made a notion to approve meeting minutes, Regina Ezell motion to accept and Danny Dugan second.

Michelle Ellis requested to discuss Treasurer report from July 2015.  She said that there are some band fees from 2014 that are on the report that was deposited.  She went over the report and asked if anyone had questions. With a motion to accept the budget by Danny Dugan to accept and Regina Ezell to second it. 

Terry Wilshire discussed the spring trip that the Band will be taking.  It has been decided on Disney World.  The estimated cost will be somewhere between $550-$600 a person.  Thomas Tours will be handling this for us and they are planning on coming to our September Booster Meeting.  The trip will last from Saturday to Wednesday of Spring Break.  Terry brought up ideas on Fundraisers to help raise money so that all the students will be able to go!

Terry Wilshire brought up Coke Sales. He said that he brought extra forms and passed them around the room.  A parent asked if they could donate money instead of selling cokes.  Terry said that we will accept any amount of donations.  You can also donate on our GHS Booster website.  All sales HAS to be turned in with all money on August 28th.  This is the day that he will be ordering.  Cokes will be delivered to the band room on September 2nd.

Tammy McCarter brought up that she called Texas Roadhouse to set up a Pancake Breakfast.  She was told that they are no longer doing them due to new management.  The manager assured her that they are still doing fundraisers and it will be a voucher.  The voucher will be a pulled pork sandwich or a grilled chicken sandwich, fries and a drink for $10.  We will get $6 for every ticket sold.  The tickets will have the Band information on the back with a free appetizer as well.

The Car Wash is set for September 12th.  The time and location will be announced at a later time.

Terry Wilshire suggested that we need to find a place that either sells, or gives away garment bags.  The ones that we have are tearing up and we will need new ones for the Freshmen. 

Amanda Wilshire mentioned that we should make sure that the menu that we have for the Concessions is what we want to do again this year.  She also brought up if we would still like to get peanuts from Texas Roadhouse.  We all agreed this was good and Tammy McCarter will see about getting them.  Someone else mentioned that they may be able to get some Little Debbie cakes donated.

Angelique Tolliver brought with her a plate/cup holder that her company is making.  They can make it the G and sell it for $4 a piece or $32 per a case.  She stated that if we decided to buy these for a Fundraiser that her company would not sell them to anyone but us.  We discussed and decided that we would try a case and see how well it sells.

Terry Wilshire brought up that we need to get the Concession Stand ready for the first home game on September 4th.  The grill and the fryer needs to be cleaned.  It was suggested by Chris Arms to schedule it on August 22.

Regina Turner read the minutes from August, 2015.  We made a notion to approve meeting minutes, Regina Ezell motion to accept and Chris Arms second.

Johnny Thomas with Thomas Tours came to discuss the trip the band will be taking March 12-16th to Walt Disney World.

Michelle Ellis requested to discuss Treasurer report from August 2015.  She said that the Pilot check for $1000 came in.  Our Coke sales was $2400. With a motion to accept the budget by Sheila Staley to accept and Regina Ezell to second it. 

Tammy McCarter talked about Texas Roadhouse fundraisers.  She talked about the barbque sandwich and chicken sandwich dinner.  The tickets will be $10 and the band will get $6 profit per ticket.  Also, they have a gift card fundraiser that can be made with out logo on it.  All gift cards sales will be 10% total to the band.

Terry Wilshire discussed that we need people to step up and head some of the Volunteers for Fundraising.  Mr. Humber mentioned that we can have the sales from the Fruit Sales go 100% for the spring trip for the students and the candy sales can be 50% for the trip.  With a motion to accept this, Tammy McCarter to accept and Regina Ezell second it.

Amanda Wilshire brought up that we need to vote for what food the kids will be fed for this week and next weeks game..  It was decided that this week will be Chick fil a and next week will be hot dogs.

Mr. Humber asked if we could still get our Banner and if it is in the budget.  Terry Wilshire said that it was still in the budget and Mr. Humber will find out how much it will be.

 Regina Turner said that she is still needing volunteers for Concessions on 10/16, 10/23 and 10/30.  She wanted to remind the parents if you have a senior, you will want to NOT schedule your shift on the 30th since that will be Senior Night.  She also stated that if for some reason, you are unable to work your shift, please let her know immediately so she can find someone to replace you.

GHS Band Boosters

                                          October 6, 2015

    

Tammy McCarter read the minutes from September, 2015.  We made a notion to approve meeting minutes, Regina Ezell motion to accept and Bruce Ellis second.

Angelique Tolliver discussed the candy bar sales.  As of last Thursday, 57 boxes have been sold.  So far, $3,258 has been collected.  There will be a drawing each week per Mary.  Parents suggested that if the students should not get the gift cards if they are planning on going on the Disney trip.  That if they was to win, that money will go toward their payment. 

Terry Wilshire said that the Coke fundraiser was not doing well with the Lemon water.  Last week 8 cases were delivered, not 17 that was promised.  So if anyone was still needing lemon water, they can either get a substitute or we can refund them their money. 

The indoor ETPPA has been scheduled for March 21 and it is Easter         weekend this year.

Michelle Ellis requested to discuss Treasurer report from September 2015.   Our balance is $11,270. With a motion to accept the budget by Chris Arms to accept and Regina Ezell to second it.

GHS Band Boosters

                                        November 10, 2015

    

Tammy McCarter read the minutes from October, 2015.  We made a notion to approve meeting minutes, Scott Boyle motion to accept and Michelle Ellis second it.

Michelle Ellis requested to discuss Treasurer report from October 2015.   With a motion to accept the budget by Chris Arms to accept and Regina Ezell to second it. 

Michelle Ellis suggested that we discuss gift cards for the students on the candy bar sales.  She suggested that it be $50 each.  Madison Ezell was the winner for the highest sales, so Regina Ezell said that she would like to donate the $50 back to the Boosters.

Jean Washam wanted to discuss the silent auction.  She said for it to be successful, it needs to last 6-8 weeks.  She also suggested that we hold off until our winter Drumline and Color Guard Competition.  That will give us plenty of time for parents and businesses to donate items.  She also said that she has sent several area and Sevier County businesses letters asking for donations.  Hopefully we will hear soon from them.  We decided that we need the deadline to be March 7th.

Terry Wilshire brought up that our Indoor Drum Line and Color Guard, ETPPA, will be held March 21st and we will need many parents and students to volunteer. He gave the run down of what areas needs to be filled:

Director; Co Director; Sound, Tabulation, Medical, Voice Record; Concessions, Security, Judge Transport; Hospitality; Warm Up Rooms, Spectator Door Monitors, Door Security, Sales Table, Shirt Sales, Registration.   He went over what each position is and we will discuss more at next months meeting to put people in place.

Chris Arms suggested we need to make repairs on our away concession stand since someone has broken into it.  Carl Justice said that he will get the lumber to fix it. 

Amanda Wilshire said that we need a clean up day scheduled for the concession stand.  It was decided to do the clean up and work on the away side on Saturday November 21st.

Regina Turner read the minutes from November, 2015.  We made a notion to   approve meeting minutes, Michelle Ellis motion to accept and Chris Arms second it.

Michelle Ellis requested to discuss Treasurer report from October, 2015.   We made a motion to accept the budget by Regina Turner and Scott Boyle to second it. 

Terry Wilshire passed around a Sponsor form for our upcoming ETPPA Indoor Drumline and Color Guard Competition.  This form will be where you can make donations and pay for advertising in our program.

Regina Turner brought up that our Indoor Drum Line and Color Guard, ETPPA, will be held March 26th and we will need many parents and students to volunteer. She gave the run down of what areas needs to be filled:

Director; Co Director; Sound, Tabulation, Medical, Voice Record; Concessions, Security, Judge Transport; Hospitality; Warm Up Rooms, Spectator Door Monitors, Door Security, Sales Table, Shirt Sales, Registration.   She went over what each position is and we will discuss more at next months meeting to put people in place.

Mr. Humber asked if the boosters could get about 25 plastic boxes for the guards equipment.  He also asked if we could help out a guard student to purchase a rifle.  Regina Ezell motion to approve and Tammy McCarter second it.
